Due to illness we had to cancel a trip booked through Southwest last week.

How does one go about rebooking that trip? We plan on going within the next 3 months. Can it be done online? Do we have to go the airport and do it in person?

Thanks!

You can do it online. https://www.southwest.com/flight/travel-funds-search.html

Assuming that when you cancelled the flight, you received your refund as a credit toward a future flight? In that case, you just go through the normal booking process on-line. When you get to the payment part of the process you use the section for adding flight credits.

You will need the confirmation number of the cancelled ticket.

You enter the confirmation number and the names of the passenger(s) on the original flight. You can only use the credits for the passengers who were on the original ticket.

Southwest is definitely the simplest airline to work with in a situation like this. Your credit should be good for 12 months from the time of the original date of ticket purchase - so you probably are fine if you're looking out just 3 months. And unlike most of the airlines that really gouge you for re-booking, you should only need to pay for any fare changes - no $100-$200 fees.

And furthermore... you can always book a "phantom flight" if you are near the edge of the 12 month window that is out as far as they allow. Then cancel that flight and book what you want.

*disclaimer - you used to be able to do this - I haven't had to do it in a while. :)

That loophole has been closed for some time. Credits retain the expiration DATE of the original flight. If you use credits to book a new flight and then cancel that flight, the new credit will have the expiration date of the original. Furthermore, if you used credits for part of the new reservation and cash for part of it, and then cancel that reservation, the entire amount of the new credit will have the expiration date of the old one.

Back in 2011 we had a big family vacation planned. 6 of us were flying Southwest. My father in law suddenly passed away about 2 or 3 weeks before we were to leave. We contacted Southwest and explained the situation. We told them that with his death and having to take care of the estate we had no idea when we would rebook the trip. They were so kind. They had us fax a letter explaining what happened and a copy of the obituary and they gave us all a full refund. Needless to say a year later we were flying Southwest for our family vacation. Now we always fly Southwest whenever possible.
