I rented out a reservation I'm unable to keep. Is it necessary to send the renter the actual confirmation letter, or would sending a copy of the letter be sufficient?

Do a search for DVC rental and you will find several sites with guidelines. Personally I would make a copy and either send it or keep it myself.
